How To Add Alias Names To A Record


Issue

An individual in your names table has been contacted numerous time by your agency. During each of these contacts the subject has provided alias names.

 

Resolution

(In this example we are using Denise Flutie - Name Number 49 as our real or legal name record.)

Each person in Flex will have ONLY one real or legal name in the system, it will be considered your base record for that individual. Search for and open that record. Note the name number for this record as it will be used when adding the aliases. 

**Note: you won't actually add or make changes to this base record to add the alias information.**

Next search for the Alias Name, if it exists you will modify it to link it as an alias. If it does not exist, make a new name record. 

Once you have the new name record and are certain it is an Alias to the original click in the Alias field of the alias name. (We are now working in the name record for Dee Flutie - Name number 335).

Here you can either type in the name number of the original record, when you tab out of it the name from the original names record will show:

 Or click the down arrow, a new names screen will open in search mode, search for the original record by name. When you find the right one, click on use. 

As soon as you click on 'use', it will return to the modify record and show the original record in the Alias field as it did above. Click F3 or Accept to save your update.  

Now if you click on involvements in the Alias name record you will see the a link to the original record.

Each name record can be linked  by Alias to one record/name only, that will be the original record. To see all of the alias for the original record navigate to it in the names table and you will see a note next to the Alias field that indicates how many aliases there are and to see involvements. All linked aliases will show there.
