Directions for a User that needs to add a single hot plate

Resolution
- Go to: https://learn-nvls.com/
- Sign In
- Click on ‘Vehicle Manager’
- If prompted enter your username for Vehicle Manager Multi-Factor Authentication
Enter the code that you just received by email into the ‘Passcode’ field and hit ‘Submit’
- Select ‘Hot List Management’
- Select ‘Upload Hot List”
- Click “Add Hot List”
- Click “Add hot plate”
PRO TIP: If you want to get to “Add Hot plate” Faster and simply Click on Vehicle Manager > Add hot plate, you can create a favorite. See KB# KB0032498 for directions on how to create favorites:
- We have (4) mandatory fields when entering a Hot-Plate (Hot Plate – Hot Plate, State, and Alert and distribution). Enter the required information:
- Hot Plate
- State
- Alert
- Distribution

- Agency Managers can add a single Hot-Plate to all agency users, my user, select users or user groups.

- The Agency Manager is able to add more ‘Alerts’ and ‘Details’ as needed. Enter Optional Information:

- Select a File - Upload from a PNG or JPEG or PDF File. File size must be less than 5MB
- Email Recipients - If ‘Email Recipient(s)’ is selected, the email address must comply with a government-sanctioned email address. If the address in question is a government-sanctioned email address but you receive the warning below, you may contact support@vigilantsolutions.com to request that the address is approved.
- Make Inactive After - When adding a Hot Plate, we have the option to make the record expire after a given period by selecting the ‘Make Inactive after’ option. After a specified amount of days, the record will become inactive but not be deleted. This allows for the record to become active again at a later time.
- At this point, the Agency Manager may select ‘Load Hot Plate’ to upload the plate, or they may select ‘More Options’ to assign further detail to the Hot Plate records.

- Assign Alert Levels - Within ‘More Options’, the Agency Manager will have the opportunity to select ‘Assign Alert Levels’ for a specific record. This option will alert the CarDetector System User of the severity of the alert. When configured in CarDetector an Audio Alert will notify the user of the severity as well as display color coded level for the Alert (Low- Yellow, Medium-Orange, High-Red).
- Generate Historical Hits for last - There is the option to create hits from previous detections. When selecting ‘Generate historical Hits for last’, we can enter a specific amount of time to do historical hit look-ups. Essentially, this allows for the creation of hits of detections that are already on the system. This option can sometimes be useful for forensic data look-ups.
- Order Date - We also have the option to enter the ‘Order Date’ and the dialog box pops-up giving us the option to select a date. When not entered, it will be defaulted to the ‘Date of Load’.
- Freeze Hot Plate Ownership - This option will prevent the overwriting of the original Hot Plate by another Agency member until the Freeze Ownership option is removed from the Hot Plate. This allows for hotplate to not be overwritten or removed by other Agency members. Note: any attempt to load an identical plate will fail unless uploaded by the owner of the frozen Hot Plate.
- Custom Hotlist Fields - We can add customized note fields into LEARN in the ‘Custom Hot-List Fields’ section. We are now able to select up to (6) customized note fields. Select the plus (+) symbol to enter a new ‘Title’ and corresponding ‘Data’ point. To remove a field, simply select the minus (-) symbol. These note fields will be seen in reports and attached to hit notices. For example:
- Default Hot-List Fields - We also have the option to include details in the ‘Default Hot-List Fields’ section that describe the vehicle. For our default fields, we include ‘Vehicle Owner’, ‘Vehicle Make’, ‘Vehicle Model’, ‘Vehicle
Year’, and ‘Vehicle VIN’.
- Add Comment - Lastly, we can ‘Add Comment’ about the Hot Plate being uploaded. To append a comment to the record, any user can type in the ‘Enter Subject’ and ‘Enter New Comment’ boxes. This dynamic comment field can be entered after the record has been uploaded. Thus, a trail of comments can be attached to a record.
- When all the above fields desired are complete, the Agency Manager will select ‘Load Hot Plate’ to finish the Hot Plate Upload.
- If prompting Fill out the Auditing information and click ‘Continue’
- The user will receive a confirmation that the plate has been loaded or a warning if a required field is missing.
NOTE: An email from VehicleManager Hot List Utility <no-reply@learn-nvls.com> will also be sent as a confirmation when the request has finished processing
